Meeting of Atlantic History And Archives Network
Topic: preservation of the historically significant archive of documents and photographs at the home of recently deceased Anne Fulton
Present: Robin Metcalfe (chair), Lynn Murphy, Anita Martinez, Tuma Young (via Skype), Dan MacKay (notes)
Meeting came to order on November 15, 2015 at 2:30 at Robin's place, Cunard St, Halifax.
Robin has been in contact with Kevin, Anne's brother. They're quite willing to release materials that have value to the LGBT community. The family needs to have the materials out of the house by the end of the month.
Tuma identified that we do need a letter acknowledged by the estate that we will be transferring these materials to the public archives; the letter will accompany the materials.
Long term plan: transfer the materials to the NSARM.
Possible plans:
- a public event to identify materials, possibly at the Northwood boardroom
- publish our own index to the materials
- DAN will transcribe the Contents recording
Collection process:
- identify materials we think are historically important to the LGBT community
- be transparent with the family about the materials
- record verbal descriptions of the materials as we pack them to create a recorded, verbal, contents
- if there are any materials that the family wants, that we think are valuable, we'll document them separately and arrange for them to be scanned and returned
- store the material pre-transfer to NSARM at Robin's country home.
Action Items
- ROBIN will draft the letter to the estate about the gifting and transfer of the materials
- DAN will buy 20 Banker's Boxes with the idea
- DAN will arrange for some device to take dictation
- DAN will have a vehicle ready for Wednesday afternoon
- ROBIN & DAN will go to Anne's home on the afternoon of Wednesday, Nov. 18 and work with the family to identify and pack the relevant materials.
- LYNN will call Karen White at NSARM on behalf of Atlantic History and Archives Network, and tell her of the existence of these materials and our desire to present them to NSARM, that we do not know how much there is until after pickup on Wednesday, and that we will call again when we have this information.
- LYNN will email all current members of AHAN and tell them that AHAN has awoken from hibernation and is proceeding with the acquisition of Anne's papers and their presentation to NSARM and that we may be calling on them to assist with the labelling of photos at some future date.
